Admin Assistant (Care) - Part Time

Christadelphian Care Homes exists mainly, although not exclusively, to care for members of the Christadelphian Faith. We operate a number of Care Homes and Sheltered Housing schemes throughout the UK and are able to deliver care tailored to individual needs from low support through to residential, nursing and specialised care, including dementia. Olivet isn't a home, it's a community, with residential, nursing and dementia care in one location, all provided by a qualified and dedicated team. Olivet is home to over 60 residents living in the home itself and the 30 independent living apartments just a stone's throw from the home. All residents are invited to join in the activities and life of the home.

We are looking for a highly organised, compassionate, and proactive Admin Assistant to join our team on a part time basis, working 16 hours per week. This role is essential in ensuring our residents receive the highest quality of care through effective administrative support to our care and clinical leadership teams.

In this varied role, you will support the smooth running of our care home by maintaining accurate resident records, coordinating staff rotas, managing clinical stock, and ensuring professional communication with families and external stakeholders. You will also play a key part in supporting care meetings, quality assurance processes, and the day-to-day organisation of the care leadership team.


Key responsibilities include:

- Maintain residents' records, staff rotas, and holiday schedules

- Manage clinical stock, support assessments, and assist with the medication cycle

- Monitor staff compliance and communicate updates

- Handle calls and emails professionally with relatives and stakeholders

- Take minutes for care meetings, track action plans, and support staff planning

- Prepare reports, letters, spreadsheets, and other documentation

- Arrange meetings, manage diaries, and communicate staff events

- Assist with recruitment and contribute to quality assurance activities


Experience:

- Proven experience in care homes, healthcare, or similar settings, with a genuine interest of working with the elderly.

- Strong day-to-day organisational skills, managing a variety of tasks in a busy environment.

- Confident handling of sensitive information with attention to detail, accuracy, and confidentiality.

- Excellent communication and interpersonal skills for professional engagement with residents, families, colleagues, and stakeholders.

- Proficient in Microsoft Office for reporting, data entry, and diary management.

- Experience supporting compliance, audits, or quality assurance processes, ensuring standards are met and tracked.

- Able to work independently, demonstrating initiative, reliability, and a proactive approach.
